“It’s easy for me to interrogate the month-end close now, so I go into board meetings having battle-tested the numbers. That's a big comfort for me as CFO.” Peter Jones, CFO, Westhaven

Scaled Services Require Automated Processes

Helping locals live independently
Westhaven has tripled in size in the past four years with support from the federal National Disability Insurance Scheme and the NSW government’s ITC Significant Disability program. It’s the second largest employer in the regional city of Dubbo, with more than 700 staff, five subsidiaries and room for growth.
Growing pains with Great Plains
As the organisation grew and added subsidiaries, the limitations of its Microsoft Great Plains ERP system became evident. Great Plains required extensive manual data entry and its finance team had to export financial data to spreadsheets before it could create reports. As a result, month-end close took seven days to complete.
Five subsidiaries, one real-time view
Two years ago, Westhaven switched to NetSuite ERP, which seamlessly consolidates financial information across its subsidiaries and delivers metrics around payroll, billing and invoicing on-demand. The system eliminated the need for spreadsheet-based reporting, saving Westhaven’s finance team over 40 hours a month. Month-end close now takes five days, and the accounts payable process is completed one day faster each week.
Ready for greater impact
Westhaven is now working to eliminate manual file uploads from its customer management software, CTARS. Instead, an integration will transfer data directly into NetSuite, saving time. Westhaven’s leadership believe they are in a strong position to obtain more government grants thanks to the organisation’s capacity to scale quickly with NetSuite.
