United Exchange Reclaims Three Months of Work Annually via NetSuite Planning and Budgeting

When shopping in our go-to stores, we often don’t think of how our favorite private label brands end up on the shelves. Since 1993, United Exchange Corp., a private label distributor of household products, has delivered high-quality products to mass retailers across the world. As a global company, it needed a financial planning solution that could keep up when spreadsheets no longer cut it.

“NetSuite Planning and Budgeting removed the headaches we used to experience with Excel and seamlessly brought everything together. We would’ve had to rebuild everything if we went with Adaptive.” Tom Blaylock, Director of Operations, United Exchange Corporation

Spreadsheets Can’t Handle Global Operations

Stretched thin
United Exchange had switched its basic financials from Sage Intacct to NetSuite ERP—but still used Microsoft Excel for budgeting, reporting and forecasting. It became apparent that spreadsheets wouldn’t cut it for the global distributor. Among the main issues: The team spent too much time formatting actual vs. budget reports, leaving little time to connect budgets and forecasts to business goals.
Selecting the native option
Seeking to automate its financial planning, United Exchange evaluated NetSuite Planning and Budgeting against Adaptive Insights. The team chose NetSuite’s tool for its cost efficiency and, more importantly, its connectivity to their ERP—it would’ve been much more expensive and time-consuming for United Exchange to integrate Adaptive with NetSuite. It would’ve required an entire rebuild of the system—including building a connector from scratch.
Finance works smarter, not harder
With its new tool, United Exchange’s finance team no longer has to manually pull data from the ERP and general ledger, nor update budget and forecast templates by hand. They’re forecasting and reforecasting 95% faster, saving three months of manual work per year. The team uses this time for analysis: For example, they analyse actual-to-budget reports, then allow management to dig into the details—and thus gain confidence in forecasts and projections.
An ongoing partnership
United Exchange also engaged NetSuite’s Advanced Customer Support (ACS) to help optimise its system processes on an ongoing basis. The consulting team sits down with every department to understand their needs, then creates bespoke solutions. For example, when the ACS team learned that United Exchange was maintaining support cases both inside and outside of NetSuite, it created a support case template that cut out the double work and allows for printing single or multiple cases from NetSuite.
